Be responsible for accurately performing multiple financial activities relating to the company and its subsidiary companies weekly and bi-weekly payroll functions. This includes timely and accurate preparation, execution and reporting of payroll for the company and its subsidiary companies' employees, clients and staff. The position reports to the Chief Financial Officer.





  1. Accurately and efficiently prepare payroll, including corrections and adjustments, for all Goodwill and its subsidiary companies' clients, employees and staff. Perform data entry of time sheets and adjustments for assigned employees and staff. Audit time sheets and payroll processing for accuracy.  Prepare and distribute reports pertaining to Payroll as required or requested including internal reports used for business decisions and external reports as needed to comply with requirements. Transfer funds between bank accounts using ACH in accordance to procedure and create journal entries to record transfers. Upload payroll check and direct deposit information to correct banking websites. Monitor, verify and adjust for FICA and Retirement limits as needed.  Prepare information folders and mailing envelopes for the following weeks.


  1. Prepare, report, pay and maintain paper and electronic files for all weekly payroll related taxes including FICA, Federal, State, Local and Workers' Compensation. Prepare, reconcile and file quarterly and year-end Federal and FICA withholding tax forms. File multiple state Unemployment Tax Forms quarterly, monthly or weekly as determined by each entity. Oversee company Workers' Compensation insurance data and provide reports and reconciliation as needed to the Chief Financial Officer. Research and resolve reporting problems. Prepare and file manually and/or electronically and distribute accurate and timely federal and multiple state W-2s and W-3s. Research, prepare and file annual corporate census data. Create journal entries for all tax transactions as needed.


  1. Prepare and process benefits and deductions and any approved corrections for employees. Accurately prepare, submit and pay 403(b) employee and employer contributions to the secure pension website each week, verify the accuracy of the submission and create journal entries to adjust for distributions posted by the pension website. Comply and assist Chief Financial Officer in preparing for annual audits pertaining to the retirement plan. Prepare, transmit and maintain files for the 403(b) Nondiscrimination test to vendor. This test is completed twice yearly and must be reviewed by the Senior Accountant prior to transmitting.  Notify employees, prepare, process and pay weekly employee garnishments to correct entities. Maintain garnishment database and communicate with agencies and employees to ensure accuracy. Act as a liaison for employees with questions or issues regarding withholding orders.


  1. Maintain copies of detailed records and documentation of payroll functions for audit and reporting purposes as needed and participate in preparation for annual audits, in accordance with statutory requirements. Accurately follow the Corporate Retention Schedule for maintenance and purging of payroll records. Monitor and maintain workflow directions and procedures. Monitor, investigate and prepare for software and form updates. Work closely with other departments to schedule payroll run dates in accordance with paid corporate and bank holiday.


  1. Create and setup new or change existing GL Accounts, Department Codes and Tax Codes and Rates as needed. Communicate changes to departments as necessary.





  1. Perform other duties as requested by the Chief Financial Officer.


  1. Be willing and able to cross train and perform routine tasks and projects involving store reports, accounts payable, accounts receivable and general ledger.


  1. Serve as back up for Accounting Analysts when needed and cross-train designated payroll back up to process and distribute payroll in your absence.


  1. Maintain petty cash distribution and replenishment for the Administrative Office.


  1. Research, document, and report information to management as needed to comply with changing laws and regulations affecting the organization's payroll and related activities.





  1. Degree in accounting or previous like accounting/payroll experience.


  1. Previous grant management experience preferred.


  1. Advanced knowledge and thorough understanding of Microsoft Office, Crystal Reports, Sage ERP 100, Prophix, AoD, Search Engines and numerous required online reporting sites.


  1. Thorough understanding of generally accepted accounting principles (GAAP), especially as they apply to nonprofit organizations.


  1. Knowledge of applicable OMB Circulars and ability to research new pronouncements as necessary and appropriate.


  1. Knowledge of and ability to apply financial analysis techniques.


  1. Ability to be self-directed and work independent of close supervision.


  1. Ability to communicate clearly both orally and in writing and to work well with



  1. Ability to use discretion when dealing with confidential information.


  1. Detail-oriented with the ability to accept responsibility and correct errors.


  1. Ability to work well under the stress of meeting deadlines.


  1. Ability to prepare timely regulatory reports and filings to the various federal government and state agencies.


  1. Current driver's license, insurance and means of transportation.


  1. Ability to research and understand legal terminology in accordance to Wage Withholding order and changes in Taxes.





  1. Normal office, light factory and retail environments.
