Job Objective:

 

To serve visitors by greeting, welcoming, and directing them appropriately, notifies company personnel of visitor(s) arrival. These tasks include operating the telephone switchboard, maintaining reports and performing basic clerical duties. This position reports to the Executive Office Manager. Job performance is reviewed annually.

 

 

Essential Job Functions:

 

  1. Courteously and pleasantly welcome visitors by greeting them, in person or on the

     telephone; answering or referring inquires.

 

  1. Greet all visitors courteously and direct as appropriate.

 

  1. Good customer service and telephone skills.

 

  1. Good communication with the public, supervisor, and peers.

 

 

Other Job Functions:

 

  1. Maintain and update Corporate Telephone Directory.

 

  1. Maintain security by following procedures; monitoring logbook, issuing visitor

     badges, etc.

 

  1. Maintain safe and clean reception area by complying with procedures, rules and

     regulations.

 

  1. Maintain continuity among departments by documenting and communicating

     actions, irregularities and continuing needs.

 

  1. Type correspondence, photocopy, collate, etc. as directed by Executive Office

     Manager.

 

  1. Handle the scheduling of meetings as needed for Conference Rooms and the

     Board Room.

 

  1. Prepare and send out daily sales reports, as needed.

 

  1. Serve as a backup to the Office Services Coordinator by being knowledgeable of

                          the office supply inventory and covering it when Office Services Coordinator is out   of the office.

 

  1. Rotate and maintain stock, in vending and pop machines, as needed.

 

  1. Keep track of postage usage per departments and amounts used. 

 

  1. Do the bank deposit and pick up mail at the local post office daily, as needed.

 

  1. Make announcements over the PA system as directed.

 

  1. Maintain proper and correct clock and shirt inventories. This includes but is not

                          limited to distribution of inventory, keeping detailed documentation of activity and     preparing monthly reports that are turned in on a monthly basis.

 

  1. Other tasks as assigned by supervisor.

 

 

Specifications:

 

  1. Ability to communicate clearly, courteously and pleasantly by telephone and in person.

 

  1. Ability to write legibly and take accurate, clear messages and relay same promptly.

 

  1. Ability to maintain a neat, well groomed businesslike appearance.

 

  1. Ability to hear clearly.

 

  1. Ability to type at least 35 wpm.

 

  1. Ability to deal courteously, pleasantly, and efficiently with the general public as well as with all levels of personnel within Goodwill.

 

  1. Ability to operate digital telephone switchboard.

 

  1. Ability to stay calm under pressure and in emergency situations.

 

  1. Ability to sit up right in a chair.

 

  1. Ability to stand and move about the office as required for filing and use of various types of office equipment.

 

  1. Ability to lift approximately 20 pounds.

 

  1. Ability to use computer using Microsoft Word, Excel, and Publisher.

 

  1. Ability to travel from one end of the building to the other.

 

  1. Ability to drive and have available a vehicle and a valid Driver's License.
